How Recruiters Use ATS in India (Naukri RMS, Workday, Greenhouse)
Inside the recruiter's screen: how Indian companies use Naukri RMS, Workday, Greenhouse, Lever and Taleo to search, filter and shortlist resumes — and what it means for you.
Most advice about applicant tracking systems is written for the US market. But hiring in India has its own tools, volumes and habits: Naukri dominates, campus drives process thousands of students at once, and notice periods and CTC fields are standard filters.
This guide explains how recruiters at Indian companies actually use ATS software — and what that means for your resume.
The main ATS platforms used in India
| Platform | Typical users | What stands out |
|---|---|---|
| Naukri RMS | SMEs, startups, IT services, staffing firms | Tight integration with the Naukri resume database |
| Workday Recruiting | Large MNCs and global capability centres (GCCs) | Structured application forms, knockout questions |
| SAP SuccessFactors | Large Indian conglomerates, manufacturing, MNCs | Part of a wider HR suite |
| Oracle Taleo | Older enterprise setups, banks | Strict, form-based parsing |
| Greenhouse / Lever | Product startups, SaaS companies, tech MNCs | Structured scorecards, referral tracking |
| Darwinbox, Keka, Zoho Recruit, Freshteam | Fast-growing Indian companies | Mobile-friendly, integrated HRMS |
| iCIMS, SmartRecruiters | Some MNCs and GCCs | Large-scale hiring pipelines |
You usually can't tell which system a company uses until you reach its careers page — the URL often reveals it (for example, "myworkdayjobs.com" or "greenhouse.io").
A recruiter's typical workflow
1. Post the job and collect applications
The job goes live on the company careers page and is often pushed to Naukri, LinkedIn, Indeed and other boards. Applications from every source flow into the ATS, where each resume is parsed into a candidate profile.
2. Apply knockout filters
Before reading any resume, recruiters usually narrow the pool with hard filters:
- Total experience ("3–6 years")
- Current location or willingness to relocate
- Notice period ("30 days or less")
- Current and expected CTC within budget
- Qualification (B.Tech/B.E., CA, MBA)
- Answers to screening questions
On high-volume roles, these filters can remove more than half of applicants instantly. Make sure your answers and profile fields are accurate and complete.
3. Search by keywords
Next, recruiters search the remaining candidates with keywords — often using Boolean logic:
("Power BI" OR Tableau) AND SQL AND ("data analyst" OR "MIS")
The ATS shows resumes containing those terms, often ranked by relevance. If your resume says "dashboard tool" instead of "Power BI", you won't appear.
4. Skim the shortlist
Recruiters open the top results and skim each resume in seconds. They look at the latest job title and company, total experience, key skills, and whether the first few bullets show relevant results.
5. Move candidates through stages
Shortlisted profiles move to stages like "Screening call", "Technical round" and "HR round". Rejected candidates are often never notified — which is why silence is so common. See why your resume gets rejected without a reply.
How Naukri search works for recruiters
Many Indian recruiters search Naukri's database (Resdex) directly, not just applicants to their job. They filter by keywords, experience, location, CTC, notice period, education and how recently the profile was active or updated. A complete, keyword-rich, recently updated profile has a real advantage. Our Naukri, LinkedIn and Indeed resume tips cover how to optimise it.
Campus and mass hiring
Large IT services companies and banks hiring freshers in bulk rely heavily on hard filters: degree, branch, year of passing, minimum percentage in Class X, XII and graduation, and backlogs. Your resume should state these clearly. Online assessments usually follow, so the resume's main job is to get you through the eligibility screen and make a good impression at the interview. Read our resume guide for freshers.
What this means for your resume
- Make it parse cleanly. Single column, text-based PDF or DOCX, standard headings. See the ATS-friendly resume format.
- Use exact keywords from job posts. Recruiters search for specific tools and titles.
- State your experience clearly. Use month and year for each role so the ATS can calculate total experience.
- Keep your location visible. City and state in the header; add "open to relocation" if true.
- Fill application forms carefully. Notice period, CTC and screening answers are filters, not formalities.
- Keep portal profiles updated. Activity affects visibility on Naukri and LinkedIn.
Test your resume like a recruiter would
You can't log in to a company's ATS, but you can approximate what it sees. Upload your resume and the job description to our free ATS checker: it extracts the text the way most ATS parsers do, detects your sections, and shows which of the job's keywords a recruiter search would find — and which it would miss.
