ATS software sits between you and almost every recruiter at medium and large companies. It reads your resume before any person does, decides how it is stored, and controls whether you show up when a recruiter searches for candidates.

1. What an ATS is and how it works
An applicant tracking system is software that companies use to receive, store, sort and search job applications. Recruiters use it to post jobs, collect resumes from many sources, filter candidates, search by keywords, and move people through interview stages.
Common systems include Workday, Greenhouse, Lever, Taleo, iCIMS, SAP SuccessFactors and, in India, Naukri RMS, Darwinbox, Keka and Zoho Recruit. Job portals such as Naukri, LinkedIn and Indeed also behave like giant ATS databases.
When you apply, four things happen:
- Parsing. The ATS extracts text from your PDF or Word file.
- Sectioning. It identifies your contact details, experience, education and skills using headings.
- Indexing and matching. Your words become searchable, and some systems compare them with the job description to rank you.
- Filtering. Recruiters apply knockout filters (experience, location, notice period, salary) and search by keywords.

2. Myths about ATS
Myth: "75% of resumes are automatically rejected by robots." Most ATS software doesn't auto-reject based on a score. What happens is quieter: resumes that are unreadable or lack keywords simply don't appear in searches or rank low, so nobody opens them.
Myth: "You need to beat the algorithm with tricks." Hidden white text, keyword stuffing and copying the job description backfire. Recruiters see the parsed text, and interviewers ask about every skill you claim.
Myth: "ATS can't read PDFs." Modern systems read text-based PDFs well. The real problem is image-based or design-heavy PDFs. See PDF vs DOCX.
Myth: "A plain resume looks unprofessional." A clean, single-column resume with good typography looks professional to both software and people. Designers can show creativity in their portfolio.
Myth: "If I get a high ATS score, I'll get the job." A high score removes avoidable obstacles. Interviews still depend on competition, fit, timing and your preparation.
3. The ATS-friendly resume format
The format that works almost everywhere is reverse-chronological and single-column: most recent experience first, read top to bottom.
Key rules:
- One column. Two-column templates often get read across both columns, mixing your sidebar with your work history.
- Standard headings — Summary, Experience, Education, Skills, Projects, Certifications, Achievements.
- Contact details in the body, not in the document's header or footer.
- No tables, text boxes, images, icons, skill bars or charts for important information.
- One consistent date format, such as "Jan 2024 – Mar 2025".
- Simple bullets (• or –).

4. File types, fonts and templates
PDF or DOCX?
Both work if they contain real text. A text-based PDF exported from Word or Google Docs is the best default — it looks the same everywhere. Send DOCX when a portal or recruiter asks for Word. Never send a scanned resume or a photo. The full comparison is in PDF vs DOCX: which is better for ATS.
A quick test for any file: open it, select all text, copy and paste into Notepad. If the text is complete and in the right order, the ATS can read it too.
Fonts
Use common fonts: Calibri, Arial, Helvetica, Roboto, Open Sans, Lato, Cambria, Georgia or Garamond. Body text 10–12 pt, name 16–20 pt. Avoid decorative and icon fonts. See best resume fonts for ATS.
Tools and templates

5. Resume sections, in the right order
Contact details
Name, city and state, phone with country code, professional email, LinkedIn URL and a GitHub or portfolio link if relevant. Write URLs as text, not icons.
Summary
Two to four lines at the top: your level and target role, two or three key skills, and one measurable result. It replaces the old-fashioned "objective". See section 8.
Skills
The most important section for keyword matching. Group skills by category and use exact names from job descriptions. Learn the difference between hard skills and soft skills and how to present each.
Experience
Each role: job title, company, city, dates (month and year), and 3–5 bullet points for recent roles. Internships, apprenticeships and freelance work count.
Projects
Essential for freshers, students, career switchers and technical roles. Name, tools used, link, and 1–3 bullets with results.
Education
Degree, institution, university, years, and CGPA or percentage when strong. Add certifications in a separate section.
Certifications and Achievements
Relevant certifications with issuer and year. Achievements with numbers: ranks, awards, competition results, leadership roles.
6. Keywords: finding and using them
Recruiters search their ATS like a search engine. If the job asks for "Power BI" and your resume says "dashboards", you may not appear. Keywords are the bridge between your experience and the recruiter's search.
Where to find keywords
- The job description — the best source. Highlight skills, tools, titles, qualifications and phrases mentioned more than once.
- Similar job descriptions — five or ten posts for the same role reveal the common vocabulary.

Where to put them
- Skills section — every relevant keyword you genuinely have.
- Summary — your target title and top two or three skills.
- Bullet points — your 3–5 most important keywords, in context, with results.
- Job titles and certifications — official names, with common equivalents in brackets if your title was unusual.
Exact wording matters
Mirror the employer's spelling: "Power BI", not "PowerBI"; "Node.js", not "Node"; "Advanced Excel" if that's what they wrote. Include both acronym and full form once: "Search Engine Optimization (SEO)".
Don't stuff
Only include keywords you could talk about for two minutes in an interview. Never hide text in white font or paste the job description into your resume.
Tailor every important application

7. Writing bullet points that work
Once the ATS has done its job, a recruiter skims your resume for a few seconds. Bullet points are where you win or lose that moment.
The formula
Action verb + what you did (with keywords) + measurable result.

Start with strong verbs
Replace "Responsible for", "Worked on" and "Helped" with verbs that show ownership: Built, Led, Reduced, Launched, Negotiated, Analysed. Our guide lists 120+ options by category: action verbs that make your resume stronger.
Add numbers
Aim for at least a third of your bullets to include a meaningful number: volume, money, time, percentage, ranking, scale or frequency. Years alone don't count. See how to write resume bullet points with numbers for 20 before-and-after examples.
Avoid first person
Resumes use short phrases: "Built a dashboard…", not "I built a dashboard…".
Keep them scannable
One to two lines per bullet, 3–5 bullets per recent role, fewer for older roles.
8. Your resume summary
The summary is the first thing both the recruiter and, in some systems, the ranking algorithm sees. A strong summary follows a simple formula:
[Level + job title] with [experience or degree] in [2–3 keywords]. [One achievement with a number]. [What you offer or want next].
Examples:
Data analyst with 3 years in retail analytics, skilled in SQL, Power BI and Python. Built 20+ dashboards and identified ₹1.5 crore in pricing savings.
B.Tech Computer Science graduate (2025, CGPA 8.2) skilled in Java, Spring Boot and MySQL. Built a library management API with 18 endpoints and 70+ unit tests. Seeking an entry-level backend developer role.

9. Length and personal details
Length
- Freshers and early career: one page.
- Most experienced professionals: one to two pages.
- Academic and research CVs: longer, by convention.
Roughly 400–900 words works for most resumes. Under 250 words gives the ATS too little to match; over 1,400 words buries your best work. Details in how long should a resume be.
Personal details to remove
Photo, date of birth, gender, religion, caste, marital status, parents' names, full address and "Declaration" lines are biodata habits that waste space and can introduce bias. Keep city and state only. Learn the difference in resume vs CV vs biodata.
10. Special situations
Freshers and students

11. Job portals and Indian hiring
In India, most private-sector hiring runs through Naukri, LinkedIn, Indeed and company career pages, and recruiters filter heavily on:
- total experience;
- current location and willingness to relocate;
- notice period;
- current and expected CTC;
- degree, and for freshers, percentages and year of passing.

12. ATS scores: what they mean
An ATS score estimates how readable your resume is for applicant tracking systems and how well it matches a job. Our checker combines five components:

With the same changes applied to the rest of the resume — projects, certifications and the earlier role — the full version scores 97/100 and matches 16 of the 17 keywords. Nothing was invented: every fact was already true. The candidate simply made the resume readable, used the employer's vocabulary, and showed results.
Frequently asked questions
Do all companies use an ATS? Most medium and large companies do, as do staffing agencies and many startups. Very small businesses may simply read emails — but a clean, keyword-rich resume works well for them too.
Should I make a different resume for every job? Keep one master resume and tailor a copy for each important application by adjusting the summary, skills and top bullets. It takes about ten minutes.
Can I include a photo on my resume? For most private-sector jobs in India and abroad, no. Photos add nothing for the ATS and can introduce bias. Some countries and specific roles (such as modelling or certain Middle East employers) expect one — follow the job post's instructions.
Does the ATS read my LinkedIn profile? Usually not directly, though some systems let recruiters import profiles. Keep your LinkedIn consistent with your resume, and write your LinkedIn URL as text on the resume so recruiters can click it.
Are AI-written resumes a problem? AI tools can help you rephrase bullets, but recruiters quickly notice generic, buzzword-heavy text. Use them as a starting point, then add your real numbers, tools and context. Always check that every claim is true.
How often should I update my resume? Add achievements as they happen — at least every quarter — so you never have to reconstruct them from memory. Update your portal profiles at the same time.
